Privacy policy

Mad City Totes is a small local equipment rental business in Madison, WI. We only collect what we need to get totes to your door and back again — we do not run advertising networks, build customer profiles, or buy data about you from anyone else.

When you submit a reservation request, we collect the details you type into the form: your name, email address, phone number, the pickup and delivery addresses for your move, your move and return dates, the package you chose, any add-ons, and the notes you add for our driver.

When you submit a contact or partner inquiry, we collect your name, email address, phone number if you provide one, and the message you write. When you use the chat assistant on the site and ask us to follow up, we collect the contact details you give it so a person can reply.

We also receive the ordinary technical information every website receives: your browser and device type, approximate location from your IP address, the pages you view, and the page that referred you.

Form submissions are sent over an encrypted connection to our own website backend, stored in our reservations database, and emailed to our team so we can schedule your delivery. Nothing is posted publicly and nothing is shared with other customers.

Access to that database is limited to the owner and staff accounts, each behind an individual password-protected login. The database enforces per-account access rules, so a reservation cannot be read by anyone without a staff account.

We use your information to arrange and complete your tote rental: confirming your delivery window, routing our driver, following up about pickup, and answering questions you send us.

If you ask us to, we may also contact you about a future move or a promotion. Tell us to stop at any time and we will.

We do not sell your information. We do not rent or trade contact lists. We do not share your details with advertisers.

A short list of service providers handles information on our behalf so the business can operate. Each one only receives what it needs for its part, and none of them may use your information for their own purposes:

Completed rentals: we keep the reservation record for seven years, which covers repeat-customer service history and the retention period for ordinary Wisconsin business and tax records.

Reservation requests that never became a rental, and general contact inquiries: we clear these out after twenty-four months.

Chat transcripts that did not produce a contact request are not stored beyond the conversation itself.

You can ask us to delete your records sooner — see “Your choices and requests” below — and we will, unless we are required to keep a specific record for tax purposes.

We use a small number of cookies to keep the site working and to understand which pages people use. The details, including how to turn them off, are in our cookie policy.

Email hello@madcitytotes.com and we will tell you what we have on file, correct it, or delete it. You can also decline cookies through your browser settings; the site still works.

This service is intended for adults. We do not knowingly collect information from children under 13.

If our practices change, we will update this page and change the date at the top.
