Office moves are judged by one metric: whether people can work on Monday. Everything else is negotiable, and planning backward from that makes most decisions obvious.
Three weeks out
- Confirm internet installation at the new space — this is the single most common thing that delays a Monday reopening
- Measure doorways and elevators against your largest furniture
- Assign one person as move lead. Committees do not move offices.
- Book containers, a truck, and any lift or dolly equipment
One week out: label by destination
Every container gets the destination room or desk number, not a description of contents. Print a simple floor plan for the new space and tape it by the door so movers can self-direct.
Have each employee pack their own desk into one or two labeled containers. It's faster, and nothing gets lost in a communal pile.
IT is its own workstream
- Photograph the back of every machine before unplugging anything
- Bag and label cables per device — this saves hours on Monday
- Monitors and workstations travel in padded containers or blankets, never loose
- Back everything up before the move, not during
Files and records
Latched containers matter for records with any confidentiality requirement. An open box of client files riding in the back of a truck is a problem waiting to happen.
Use the move to purge. Shredding old records is cheaper than transporting them.
Friday out, Sunday in
The classic pattern: pack Thursday, load and move Friday afternoon, set up Saturday and Sunday, open Monday. A two-week rental gives you a buffer on both ends without paying for a month.
